This Privacy Policy explains how Quantum Operated AI Service Private Limited ("Dolfyn AI", "we", "us"), Bengaluru, Karnataka, India, collects, uses, stores and protects your personal data when you use dolfynai.com, register for a workshop, or apply to or participate in the Forward Deployed AI Fellowship. We process personal data in accordance with the Digital Personal Data Protection Act, 2023 (DPDP Act) and the Information Technology Act, 2000.
1. Data We Collect
You provide directly:
- Identity and contact details — name, email address, phone number;
- Academic details — institution/college, course, year of study;
- Application materials — resume, portfolio links, responses to application questions (for selective programs);
- Payment confirmation details — processed by our payment partner; we receive payment and order references, not your card or bank credentials.
Collected automatically:
- Basic website usage data — IP address, browser and device information, pages visited.
We do not collect: passwords to your other services, biometric data, or sensitive personal data categories. We do not sell, rent or trade your personal data.
2. How We Use Your Data
We use personal data to: process registrations and payments and issue invoices; evaluate program applications; run programs (attendance, teams, certificates, mentor coordination); provide placement and career support where offered; communicate program information and, with consent, updates about future cohorts; improve our programs and website; and meet legal and tax obligations.
Legal basis: your consent (given by clear affirmative action when you submit a registration or application form) and, where applicable, performance of the contract for the program you have joined.
3. Sharing of Data
We share personal data only with:
- Payment processing — Razorpay, to process fees and refunds;
- Service providers — cloud hosting, email and analytics providers, bound by data-processing terms;
- Program delivery partners — your university's training & placement cell (for campus programs) and mentors, limited to what is needed to run the program;
- Placement support — prospective employers or partner companies, only with your consent, where you have opted into placement assistance;
- Authorities — where required by law.
4. Storage and Retention
Data is stored on secure cloud infrastructure. We retain: registration and program records for the duration of your participation plus up to 3 years (for certificates, alumni verification and legal requirements); invoices and payment records as required by Indian tax law (currently 8 years); application data of unselected candidates for up to 12 months (to consider you for future cohorts, unless you ask us to delete it earlier); and website analytics in aggregated or anonymised form.
5. Data Security
We use reasonable technical and organisational safeguards, including encryption in transit, access controls, and least-privilege access for staff and mentors. In the event of a personal data breach affecting you, we will notify you and the Data Protection Board of India as required under the DPDP Act.
6. Your Rights
Under the DPDP Act you may: access a summary of your personal data; request correction or updating; request erasure (subject to legal retention requirements); withdraw consent at any time; nominate a representative; and raise a grievance. 7. Children's Data
Our programs are intended for individuals aged 18 and above. We do not knowingly collect data from children. If you believe a minor's data has been submitted, contact us and we will delete it.
