Refund & Cancellation Policy

This policy applies to payments made to Quantum Operated AI Service Private Limited ("Dolfyn AI") for workshops, program registrations and related services purchased through dolfynai.com or our authorised payment links (processed via Razorpay).
1. Workshop Registrations
- Cancellation by you — 48 hours or more before the workshop start: full refund of the registration fee.
- Cancellation by you — less than 48 hours before the workshop start, or no-show: no refund. You may instead request a one-time transfer of your seat to the next scheduled workshop at your campus (subject to availability) or transfer the seat to another eligible student by informing us before the workshop begins.
- Cancellation or rescheduling by Dolfyn AI: if we cancel or reschedule a workshop and the new date does not work for you, you receive a full refund.
2. Fellowship and Program Fees
- Application or registration fees for selective programs (where charged) are non-refundable once the evaluation process has begun, except where stated otherwise in the offer for that cohort.
- If you are not selected for a program for which a program fee (beyond the application fee) was collected in advance, that program fee is refunded in full.
- Withdrawal from an ongoing program is governed by the program agreement signed for that cohort. Stipends are payments for internship work performed and are outside the scope of this refund policy.
3. Duplicate or Erroneous Payments
If you are charged twice for the same registration, or charged an incorrect amount due to a technical error, the excess amount is refunded in full once verified. Write to us with the payment reference(s) shown on your invoice.
4. How Refunds Are Processed
- Email support@dolfynai.com with your name, invoice number (e.g. DOLFYN013), payment ID and reason.
- Approved refunds are processed to the original payment method via our payment partner within 5–7 business days of approval. Depending on your bank, the amount may take additional time to reflect.
- GST charged on a refunded amount is refunded along with it, and a credit note is issued against the original tax invoice.
5. Exceptions
Refunds are not available for: completed workshops or program stages; certificates already issued; and cases of removal from a program for material breach of our Terms of Service.
